Job Title:       FINANCIAL AID CLERK/RECEPTIONIST

Reports to:      Financial Aid Director

FLSA:             Non-Exempt

 

 

SUMMARY

This position is responsible for responding to the needs of students, the general public, and staff by providing general information concerning federal, state, and institutional aid programs. He/she will provide specific information to prospective and returning students regarding their aid application and will evaluate and distribute financial aid applications.

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

 

  • Responsible for overseeing outer office area to include student workers

 

  • Provides general information to prospective and returning students regarding the financial aid application process and federal, state, and institutional guidelines

 

  • Responsible for receiving financial aid forms, evaluating them for completeness, entering the data into the financial aid management system, and routing the forms to the counselor or director as appropriate

 

  • Responsible for attending training and maintaining current knowledge of federal, state, and institutional guidelines and procedures

 

  • Generates letters to students concerning documents needed for the financial aid process

 

  • Hires, trains, and supervises student workers to assist with data entry, document tracking, the creation and maintenance of financial aid files, and the generation and mailing of award notices and other communications to students

 

  • Responsible for retrieving, opening, processing, data entering, and routing incoming mail

 

  • Responsible for sending outgoing mail

 

  • Responsible for maintaining office calendars and scheduling appointments for counselors and the director

 

  • Responsible for monitoring office supplies and ordering as needed

 

  •  Completes purchase orders and requisitions

 

  • Manages the financial aid office budget and orders supplies and equipment as needed

 

  • Completes the monthly ProCard statement

 

  • Responsible for assisting with the generation and maintenance of the financial aid policies and procedures manual

 

  • Responsible for answering a multi-line phone and directing phone calls to counselors, the director, and others as needed

 

  • Issues Work Permits to Students, reviews work permits for accuracy and completeness, and routes to Financial Aid Processing Clerk for entry into payroll system

 

  • Assists with default prevention activities

 

  • Sends letters to delinquent borrowers regarding deferment and forbearance options

 

  • Attempts phone contact with borrowers who are close to default to assist them in avoiding default

 

  • Provides assistance to counselors and the director as needed

 

 

EDUCATION and/or EXPERIENCE

Bachelor's degree or financial aid experience desired. Requirements are computer experience, knowledge of Microsoft Office, good communication skills, customer service oriented, ability to organize, attention to detail and ability to work under pressure.

 

 

OTHER SKILLS AND ABILITIES

Data entry, basic office procedure and protocol; ability to organize and work independently; professional demeanor.

SALARY

$20,000 - $22,500
